Creating fundraisers
To create a fundraiser, start by clicking on the left menu "Finance" and "Sales fundraisers". Then "New fundraiser" in the top right and follow these steps:
Select which groups should be included in the fundraiser.
Fill in the fundraiser title, description and set the publication date for payment and payment deadline.
Set the number of units per member, you can also open up for a minimum number if some want more units.
Add the products to the fundraiser.
If desired, enable the option for buyout or family discount.
Click next to see an overview, before you finally publish the fundraiser 🚀
Managing the fundraiser
Once the fundraiser is created, you can click into it for a complete overview.
Here you can make adjustments for individuals, and mark when a member has picked up the goods, so you have full control at all times 🙏
Set distribution
After the fundraiser is created, you can set a date and time for distribution. On the same page you can also decide who should be responsible for the fundraiser. These people will be able to register orders as picked up in the app when members show their pickup code.
Those who are set as fundraiser responsible can choose "Fundraiser registration" in the app, enter the code the member shows and mark the order as picked up. You can read more about pickup and registration of this here.
Follow the progress
As payments come in, you can see the payment progress of the fundraiser in the overview. You have now saved yourself a lot of time and gray hair, lean back in your chair and pop the champagne 🥂

What happens if members should pre-order units? | This gives members the option to order more units than the minimum. It can generate more revenue for the club. |
How does family discount work? | Family discount gives the option for the youngest family members to receive a smaller number. This reduces the burden on families with multiple members. |
A member has ordered but now wants to change their order. What do I do? | You can set the order back to "Not confirmed" and the member can place a new order. Alternatively, you can change the number of units and products directly in the dashboard. |
Can I make changes for individual members? | Yes, you can make manual adjustments by clicking the three dots at the far right for each member -> Edit |
Is the entire payment process handled? | Yes, the system handles everything with sending payments to members' inboxes, automatically gives status on progress, handles reminders and records everything. No more Vipps between private accounts, lots of manual work, spreadsheets to keep track, and things not being accounted for. |
Can I get a complete overview of goods to be sold before I order them? | Yes, members confirm the quantity in advance so there is neither too much nor too little in purchases. And it is possible to exempt those who have good reasons, or let those who don't want or can participate, buy themselves out. In this way everyone can participate in their own way, without leftover stock, and maximum income for the club or team. |
Is it possible to buy out of the fundraiser? | Yes, this can be set up, with the option to set a buyout amount so that everyone's contribution to the club or team is equal. Benefits for those who don't want or can sell is that they only pay in the amount the team should earn, while those who sell contribute equally while they can break even if they sell everything. Tight personal finances are not a hindrance to children not participating on equal terms with others. |
What happens with new members who join Hoopit? | New players will automatically be added to the fundraiser. For fundraisers with orders, new players will be added as long as the order deadline has not expired. For fundraisers with only payment, new players will be added until the payment deadline expires. |
