Membership Fees in Hoopit

Learn how to set up price categories, send out membership fees and track payments in Hoopit.

In Hoopit it is easy to send membership fees to all members in the club. Go to Finance > Payments, select New payment and then New membership fee.

Step 1: Define price categories

In the first step you define the price categories for the membership fee. Choose the setup that suits your club:

Example 1: Same price for all members

If all members pay the same price you only need to enter that the price applies to All members and the amount they should pay. Choose whether the club or the member should cover the transaction cost, and click Create price category followed by Next.

Example 2: Different price categories based on role

You can define different price categories based on age and role (athlete, leader, supporter). Enter who the price applies to and the amount, and select the correct restriction:

  • Supporters: All parents as well as members in the club's supporter group are defined as supporters. If no separate category is created for them, they are included in an appropriate category based on age.

When all price categories have been entered you can go back and make changes, or click Next when you are done.

Step 2: Customize details

In the next step you can customize:

  • The text that should appear on the payment

  • Payment deadline

  • Reminder text

  • Publication date

  • Family discount

Click Next when you are done.

Step 3: Confirm and create

You now get a full overview of everything you have entered. Check that everything is correct — if you find any errors you can go back and correct them. Click Create payment to send out the membership fee.

Automatic reminders

Hoopit automatically sends reminders to members who have not paid by the deadline. You do not need to activate this manually — the system handles it for you.

Overview and follow-up

Under Finance > Payments you will find a complete overview of all membership fee payments — who has paid, outstanding amounts, payment date and due date per member. You can filter by status, group and period, and export to Excel.

Questions and answers

  • How does family membership work? Based on parent-child relationships in the system, Hoopit automatically finds who is in the same family. Members can themselves check off who they wish to include in the family membership.

  • What is meant by minimum price per member? If the number of family members multiplied by the minimum price exceeds the family price, the family price is increased accordingly.

  • What happens with new members who sign up? New members who register in Hoopit will automatically have a membership fee generated for the current year.

  • What is meant by voluntary payment to parents? To help the club gain more members, a voluntary membership fee is sent to all parents. They can decline, but if they pay they will automatically be added to the supporter group.

  • Can new family members be included in an already paid family membership fee? New family members are not automatically included, as NIF requires a transaction per member. The easiest solution is to set the price to NIF's minimum rate (50 kr) and register it manually as paid or send the invoice to the member.

  • Can I change the membership fee rate after sending? You can create new rates at any time. Changes do not affect already sent invoices.
