Team Fund in Hoopit

This article describes how you can manage team funds in Hoopit when using Hoopit Accounting 💰

View balance and transactions

You can view the balance directly in the Hoopit app by going to More > Team Fund

To view all transactions, you must log in to the web dashboard at this link.

Here, as a club or sports leader, you will see all team funds you have access to, and as the finance manager of a team, you will only see your own team fund.

Income

Collection of member contributions

Do you need to collect money from members? You can send them a payment request directly from the app or the web dashboard. Here you can read more about payments in a group/team.

Kickback

For kickback agreements: Provide the club's operating account or the club's account for all team funds

If you receive kickback from a business, the business is obligated to issue a document showing this. Use the expense claim function in Hoopit to submit the documentation, select the category "other", write "kickback Egon" in the text, and assign it to the group that should receive this money. When the money arrives in the account, the income will appear in the team's team fund in Hoopit.

Spleis

When creating a spleis campaign: Provide the club's operating account or the club's account for all team funds

The person organizing a spleis campaign will receive an overview of collected funds, fees, and paid amounts at the end of the campaign. Use the expense claim function in Hoopit and take a photo of this overview (make sure the image is sharp and that collected funds, fees, and payment are clearly visible). Select "other", write "Spleis campaign" in the text, and assign it to the group that should receive this money.

When the money arrives in the account, the income will appear in the team's team fund in Hoopit.

Work duty

If your team is planning to hold a sales work duty, we recommend using Hoopit work duty for organization, ordering, and payment. Make sure it is created for the correct team if you have access to multiple teams.

Sponsor invoicing

Sponsor invoicing - If a sponsor requests an invoice, ask the club to send it on behalf of the team

Expenses

Expense claims

Have you had an expense and want money refunded from the team fund? Submit a reimbursement claim as shown below. You can read more about expense claims here. It is important that the claim is directed at the group that should bear the cost (club, sport, or team).

Incoming invoice / Purchases from supplier

When you place an order with a business that will invoice you, ask for two things;

  1. That the invoice is sent as EHF (which means electronic data interchange format and ensures that the invoice is sent digitally directly from accounting system to accounting system)

  2. That the invoice is marked with your group and orderer (e.g. Boys 2014 – Lukas)

Then the finance manager at the club will add Boys 2014 as a "department" in the accounts, and as soon as the invoice is approved by the finance manager at the club, the invoice will be charged to the team's team fund in Hoopit.

We sent out a payment in Hoopit, but it is not visible in the team fund. When will it appear there?

Payments are made to your account weekly every Friday. This payment includes payments made by Tuesday and should be in your account by Tuesday.
