User Guide for Team Leaders / Coaches

Are you a new team leader or coach in Hoopit? Here you will find answers on how to set up your group, invite members, create activities and more

The web dashboard is only for leaders. You must therefore be added as a leader in one or more groups to be able to log in here. When you are logged in, you only see the groups you have leader access to. In the app, however, you have access to all groups you are a member of.

Find your group/team

To find your group/team, go to the left menu Groups > Users and find your team in the Group selector at the top of the screen. Click on your team name and you will enter the relevant group.

Invite members

To register in the team, members need the invitation link from the team. You find it by clicking the settings button at the top right on the web. Select "Registration" and copy the link under "Registration link". Then you can send it by email / post on Facebook page etc. (Use Ctrl + V to paste).

Add other leaders to the group
When a leader is registered as a user in Hoopit you can add him/her as a leader in the group. When you are in your group, and are on groups > users, select "Leaders". From there you can click "Add leader".
If the leader is already a member of the organization, click "Search in organization". If not, search for the person via phone number. When you have found the person you select title (e.g. team leader, coach, parent contact). When you have selected the correct title, the person will appear as a leader under "Leaders" in the group. If the leader has multiple titles, this can be added later.


You can also add people as leaders without them already being registered as users in Hoopit. Done the same way: Click "Add leader" and then "Add by number". Select title and click "Next", then enter name and email and click "Send invitation". They will then receive an email with a link to complete the registration. But the easiest is for them to first register as a user, and then be added as a leader.

Add athletes to the group

If an athlete is registered in Hoopit but is not in the correct group, they can easily be added. Go to the correct group, select "Athletes". Click "Add athlete" (red button to the right in the image) and "Add by name". Enter the name and find the correct person in the list that appears. Click on the name and select "Register athlete".

You can also add an athlete manually, i.e. an athlete who is not registered before. It is done almost the same way. When you have clicked "Add athlete" and "Add by name", you must enter the name of the athlete. Then you must click "Invite them manually". Then you must enter name, date of birth and email and click "Send invitation". The athlete will then receive an email with a link to complete the registration.

Delete athletes/leaders from the member list

To delete an athlete who has quit or switched teams, go to groups > users > click the 3 dots to the right of the name and "Delete". If you want to remove a person as a leader in the group you do the same. You are not deleting anyone when you do this, just removing them as an athlete or leader in the group selected in the group selector. Parents cannot be removed, they just follow the child.

Register your own children

Do you have your own children that you want to register? You can also use the team's invitation link, choose "log in" (since you are already registered), and add the child that should be in this group.

Duplicate registration of athletes

It happens that athletes are registered twice, either because both parents register the same child, or because the child has also registered themselves. If you discover duplicate registrations, it is important that you report it, so we can clean it up. Contact support (red symbol) at the bottom right of the web dashboard. From the app you can find the support chat under your "Profile" at the top left corner on the home page.

Activate children/athletes who want their own app

If a parent has registered both themselves and their child, the children will be child users with the parent. That means they do not have their own app, and the parent controls all the child's actions. If the child wants their own user so they can follow along in the app themselves, it can be done like this:

Parents can activate the child from their app. On the home page of the app you have a profile picture in the top left corner. Click here and select "Children". Click on the relevant child and then "Activate child account". Here you must enter mobile number and email and click "Activate account". Then an email is sent to the athlete with a link to create a password. Once done, just download the app and log in.

Connect parents and children/athletes together

If both parent and athlete are registered in Hoopit but are not connected, you can do it afterwards. Parents do not get access to Hoopit unless they are connected to a child/athlete in the group.

A leader in the group can click on the child's name to open the child's profile. Then go to "Relations" and "Add parent". Here you can add parent with phone number. If the person is registered, the name will appear in the list below. Click on the right person and "Add parent".
If the parent is not yet registered in Hoopit, you will get the option to enter name > then "add parent". The parent will then be invited to create a user.

Create a post - message to the group

Go to the left menu "Communication" > "Posts" > then click on the dropdown menu and select the group you want to create a post in. > Click "New post" Then you can choose title, text and who the post should be visible to.

Once you have created a post, it can later be both edited and deleted. You can choose to post only in the group you are in, or also all sub-groups. You can also choose who the post should be visible to: everyone, leaders, leaders and parents.


Chat with members

In the left menu, first select "Communication", then click on "Chat".

To the left you will see all your previous conversations. If you want to start a new chat with someone, you can search for them by clicking "New chat" right above the list of ongoing conversations.

Create an activity - Invite members

Go to the left menu "Activities" and "Calendar" - Click "Add activity", red button to the right in the image.

Choose which group you want to create the activity for and whether it should be a simple or recurring activity.

Fill in the information box that appears: title, text, time, contact person, possibly area, arrival time, payment, and more, if desired. You can also choose automatic registration for activities. If you choose manual registration, everyone must confirm whether they are coming to the individual practice or not. With automatic registration, everyone is automatically registered and only need to notify if they cannot come.


When you have filled in the desired fields, click "Next", and you can then define who you want to invite. Find your team in the dropdown menu, and you will get all players, parents and leaders who are registered. When you have invited everyone, click "Create activity", and it will be placed in the calendar. Everyone invited will receive a push notification about the activity.

Activities with payment can be used for example for binding registration, and members pay when they confirm that they will participate.

Invite members from other groups e.g. for guest appearances

When you in the activity have selected e.g. to invite members from group G14 and clicked "select all", you can continue to invite members from other groups. Just select group again from the group selector (dropdown), and check the members you also want to invite. When you have marked all the people you want to invite, click "Create activity".

Matches (for football)

Matches are imported directly from Fotballdata, so you as coaches/team leaders only need to click on the match and invite the players you want to have in the match. Matches should not be changed/deleted in Hoopit. Everything is done via the league, so all changes made in Fotballdata are automatically updated in Hoopit. Read more about how here

Matches (for other sports)

For other sports, it is imported via NIF TurneringsAdmin. It is found in the left menu under Integrations > NIF TurneringsAdmin. When these are set up, the matches will automatically come into the calendar in hoopit, just like football! Read more about how here

The app

In the app you first enter the calendar. You use the bottom menu to navigate between areas in the app. There will also be a top menu under "home".

Calendar shows all activities in the groups you are a member of. You see all activities you are invited to. If you want to see activities you are not invited to, go to "filter" > "show activities you are not invited to" > "use"

Payments shows all unpaid payments for you and your relations.

At the top left of the image is a profile picture. Click here and you enter your profile, where you can add children, card details and start a chat with us on support.

Tasks shows for example expenses to be approved, custom fields to be filled in, or NIF registration.

Notifications shows all reminders/comments etc. that have come on activities or posts in one of your groups.

Groups shows all groups you are a member of. When you click on a group you enter the calendar for this group.
Calendar: From here you can create new activities and you do this by clicking the red cross at the bottom right.
Posts: Click on "Posts" and you will see all posts in this group and can also create new ones. Done by clicking the red cross at the bottom right.
Members: Here all members of the group are displayed, divided into athletes, parents and leaders. You can click on a name to get more information about the person, as well as start a private conversation with them.

Chat: Here you can chat with individuals or create your own group chats. Use the search symbol (magnifying glass) to search in existing chats, the + symbol to create a new chat.


Add jersey number to players: You can add jersey number for players via the web dashboard. You open the profile of a player > click on membership > then edit on the group it concerns. Here you will get a field for jersey number!
