Hoopit's area calendar is the perfect tool for organizing your club's activities. Here you will have full control of pitch times, so you avoid double bookings or empty pitches
In the image below you see a weekly view of the Hoopit Grass area. If you wish to see another area, you can change pitch in the list on the bottom left.
If you are a club-level manager, you have access to view and edit all the club's activities, whereas if you are a team-level manager, you will only have access to edit activities for your own team. Since coaches themselves have access to edit their team's training sessions, the club's pitch calendar will always be up to date. This makes it possible for other teams to use a training time if there is a cancellation, while at the same time it is very easy to avoid double bookings.
Create activity
Select area and time
Give the activity a title
Set the correct part of the area
Link the activity to the correct group in Hoopit
Set repetition
Move an activity
If you want to move an activity, you can simply click and drag it to the time it should be moved to. If there are any invited to the activity, you can choose to give them a notification about the change. If you want to move the activity to one of the club's other pitches, you can simply click into the activity and select "Edit" in the top right corner.
Add teams and subgroups
Activities should be linked to the group or team that has the activity for best overview. You can add and manage subgroups here: Create and change subgroups
Create multiple pitches
You can create as many pitches as you need. This is done in the left menu under "Areas -> Area overview" and then select "Add area" in the top right. For a more detailed explanation, see the separate article for Add areas (pitches/meeting rooms)
Integrations with FIKS (Football data) and TA (Tournament Admin)
If you have set up the integration between the pitch calendar and Football data/Tournament Admin, all matches will also go directly into the correct area in the calendar. A daily sync is performed, which means that changes at the various associations are captured on an ongoing basis by the calendar. See this link for how you can set up the integration against football data. For TA, you can follow the articles in this article.
Integrate the calendar on the website
Integrating the pitch calendar on the website is a great idea, as anyone who wants to find an available area can see what is available. It can also help generate traffic to your website. You get the iFrame link by pressing "Share calendar" in the top right, where you can choose whether everyone, or only selected pitches, should be included in the link you copy, and then build it into the website. For a full explanation of this, see the article Integrate the pitch calendar on the website
Link activities to the correct course
For the course calendar to be accurate, all activities must be registered on the correct course in Hoopit. When you create an activity from mobile or web, registered areas will be shown under the Location field. You must select one of the options in the list to link the activity to a registered course surface. If the Location field remains empty, or you enter a course name that does not exist in Hoopit, the activity will not be linked to any registered course.
Check if activities are linked to registered courses
Select the Agenda calendar view (far right on the screen) to easily check if there are any activities that are not linked to registered courses. In the rightmost column, Location is displayed — all activities linked to the club's courses are shown in gray text boxes.
