Files allows the club to collect all important documents, folders and files in one place – directly in Hoopit📁

With Files in Hoopit, your club gets an easy and secure way to collect all documents in one place. The feature is closely integrated with Hoopit's group structure so everyone gets the right access without extra administration.

You'll find Files as a separate menu item in the web dashboard.

Create folders and files

When you open Files, you first choose at which level/group the element should be created. This can be the club, a sport or a team. In the next step, you can choose whether it should be shared with subgroups or not.

Manage sharing

There are two types of settings: Visibility and Sharing with subgroups.

All members, parents and leaders in the groups it's shared with can see the content.

Leaders only

Only leaders and their parents in the group you're sharing with can see the content.

Specific users

Only those you select and their parents can see what is shared. You can distinguish between read and edit access to the element.

View of shared items

If an item is shared with a subgroup, or with you specifically, it will appear in all groups it's shared with. It has an arrow next to the folder or file icon to indicate that it was created at a different level. By turning off "Show shared items" or using filters, you can display only folders and files that are created in the group selected in the group selector.

Is access automatically removed if members are deleted from Hoopit?

Yes. Access is controlled by membership. If a person is removed from the group, they automatically lose access.

Who can upload files?

Leaders can upload files in the groups they have access to. Regular members can view, but cannot upload – unless they are granted edit access to a folder.

How much storage do we get?

All clubs start with free storage. You can upgrade to larger packages when you need it.

Can I share files with people without Hoopit?

No. Access is currently controlled by membership in Hoopit. External users without an account do not get access.
