Do you have expenses that the team or club should pay for? Here's how to submit a reimbursement claim to get refunded for your expenses💰

Submitting expenses

  1. Select the group the expense belongs to

  2. Click on "+" and select Expenses

  3. Upload or take a picture of the information and fill in the required information

  4. Verify that your information is correct and click "submit claim"

You will be notified when the claim is approved and again when it has been paid out

Claim approval

When you as a group leader have received a claim from members in the app, they will appear in Inbox.

Here you will be able to open the claim and see what it concerns and which expenses have been submitted. You can choose to reject the claim if you think something is wrong or needs to be corrected, or approve the claim if everything looks correct and the person should be reimbursed. Claims that are rejected will be sent back to the claimant with the note you wrote.

When a claim is approved, a document will automatically be generated and sent to your accounting system. In the accounting system, another approver will approve the claim and payment from the bank. If you have an active accounting integration with Hoopit Accounting, the claimant will automatically be notified when the claim has been paid from the bank.

How do I know when the status of the claim changes?

You will be notified in the app as soon as an administrator changes or updates the status of your claim.

Why was my claim rejected?

By opening the claim you can see who rejected it and what reason they provided. You can contact the leader directly if you have any questions.

Who can submit claims?

Everyone connected to the group; athletes, parents and leaders can submit claims against the team.

Who can approve claims?

Finance responsible persons in the group the claim is directed to, or higher up in the hierarchy can view and approve claims

Can I change which group the claim is submitted to?

Both you as the submitter and the approver can change which group the claim belongs to. As the submitter, you must withdraw the claim before you can change the group
